Refund and Cancellation Policy

1. Project Cancellation Policy

At Platinum Software, we understand that circumstances may arise that require project cancellation. We have established a fair and transparent cancellation policy to protect both our clients and our business interests.

Cancellation Timeline:
  • Before Project Start: 100% refund of advance payment
  • Within 1-7 days of project start: 90% refund
  • Within 8-14 days of project start: 75% refund
  • Within 15-30 days of project start: 50% refund
  • After 30 days: No refund available

2. Refund Eligibility

Refunds are available under the following conditions:

  • Project cancellation within the specified timeline
  • Failure to deliver agreed-upon services
  • Significant deviation from project requirements
  • Technical issues preventing project completion
  • Mutual agreement to terminate the project
Non-Refundable Items:
  • Completed work that meets project specifications
  • Third-party software licenses and tools
  • Domain registration and hosting fees
  • Consultation and planning services
  • Projects cancelled after 30 days

3. Refund Process

To request a refund, please follow these steps:

  1. Submit a written refund request via email
  2. Include project details and reason for cancellation
  3. Provide original payment information
  4. Allow 5-7 business days for review
  5. Receive refund confirmation and timeline
Refund Timeline:
  • Credit Card Payments: 5-10 business days
  • Bank Transfers: 3-7 business days
  • Digital Wallets: 1-3 business days
  • Checks: 10-15 business days

4. Project Suspension

Projects may be suspended under the following circumstances:

  • Non-payment of agreed installments
  • Failure to provide required materials
  • Extended periods of no communication
  • Changes in project scope without agreement
  • Force majeure events

Suspended projects can be resumed within 30 days with a reactivation fee of 10% of the remaining project cost.

5. Change Requests

We understand that project requirements may evolve. Our change request policy includes:

  • Minor changes (up to 10% of project scope): No additional charge
  • Moderate changes (10-25% of project scope): 25% additional fee
  • Major changes (25-50% of project scope): 50% additional fee
  • Complete scope changes: New project quotation required

6. Quality Assurance

We are committed to delivering high-quality work. If you are not satisfied with our deliverables:

  • Submit detailed feedback within 7 days of delivery
  • We will provide free revisions for up to 3 rounds
  • Additional revisions may incur charges
  • If quality issues persist, partial refund may be considered

7. Dispute Resolution

In case of disputes regarding refunds or cancellations:

  1. Direct communication with project manager
  2. Escalation to senior management
  3. Mediation through third-party service
  4. Legal resolution as last resort

8. Special Circumstances

We may consider exceptions to our standard policy in special circumstances:

  • Medical emergencies
  • Natural disasters
  • Business closure or bankruptcy
  • Long-term client relationships
  • Force majeure events
